QuickBooks Online Cleanup Checklist for Small Businesses

A structured review of transactions, accounts, reconciliations and reports.

A QuickBooks Online cleanup should do more than make the account look tidy. The goal is to produce books that reconcile, classify transactions correctly and generate financial reports that a business owner can trust.

Review the chart of accounts

Remove unnecessary duplication, clarify account names and make sure the structure supports the reports the business actually needs.

Check uncategorized transactions

Review income and expense transactions sitting in uncategorized, suspense or temporary accounts. Each item should have a defensible accounting treatment.

Reconcile every active account

Bank and credit-card accounts should be reconciled through the latest available statement period. Differences should be investigated, not simply forced to zero.

Review opening balances

Unexpected opening balances can point to old cleanup work, conversion errors or transactions posted directly to equity.

Review A/R and A/P

Look for stale receivables, unapplied payments, duplicate bills and old payables that need attention.

Run core financial reports

After cleanup, review the profit and loss statement and balance sheet. A cleanup is not complete until the reports make business sense.
